- from other users who submit information reasonably necessary to identify a rights holder, contributor, subject, contact person or authorised representative.
5. Why We Use Personal Data
We process personal data only where we have an appropriate legal basis under the laws that apply to the particular activity. Depending on the circumstances, this may include performance of a contract, consent, compliance with legal obligations, protection of vital interests, legitimate interests, or another lawful basis recognised by applicable law.
We may use personal data to:
- create, manage, secure and verify user or contributor accounts;
- provide search, content, licensing, download, sales, invoicing and customer-support services;
- review, publish, distribute, license, attribute and manage submitted media content;
- verify professional identity, contributor eligibility, editorial status or accreditation requests;
- communicate about assignments, events, account activity, licensing, payments, policy updates and service messages;

- send marketing or promotional communications where permitted, subject to applicable consent or opt-out requirements;
- respond to legal requests, complaints, disputes or regulatory obligations; and
- establish, exercise or defend legal claims.
6. Contributors, Journalists and Photographers
Because Eleven One Media works with professional contributors internationally, certain personal data is necessary to verify professional identity, manage content, establish authorship and credits, process payments, coordinate assignments, and determine eligibility for agency-supported accreditation or representation.
Contributor information may include professional records, portfolio information, event history, assignment records, accreditation requests, identification documents where necessary, and activity history on the platform.
Providing contributor information or creating a profile does not by itself create an employment relationship, agency relationship, authority to represent Eleven One Media or automatic entitlement to accreditation. Those matters are governed by the applicable Contributor Policy, Accreditation & Representation Policy and contractual terms.
7. Editorial Content and Personal Data Appearing in Media
Media content may depict or identify individuals in connection with newsworthy, sporting, political, cultural, entertainment, public-interest or other editorial events. Such content may include names, images, voices, roles, locations, captions and contextual information.
Eleven One Media processes editorial content in accordance with applicable law, journalistic and editorial standards, legitimate public-interest considerations, contractual rights and intellectual-property requirements. Requests concerning published editorial content will be assessed in context and may involve competing legal rights, including freedom of expression, journalistic activity, copyright and public-interest considerations.
8. Sharing Personal Data
We may share personal data only where reasonably necessary and lawful, including with:
- authorised Eleven One Media personnel, offices, affiliates, representatives and contractors;
- hosting, cloud, communications, cybersecurity, analytics, customer-support, payment, accounting and identity-verification providers;
- event organisers, federations, clubs, venues, institutions, government bodies or accreditation authorities when you request or authorise an accreditation, assignment or related service;
- clients, licensees and media partners where contributor credits, rights information, licensing administration or contractual performance requires it;
- professional advisers, auditors, insurers and legal counsel;
- competent courts, regulators, law-enforcement bodies or public authorities where disclosure is legally required or necessary to protect rights and safety; and
- a purchaser, investor or successor entity in connection with a bona fide merger, acquisition, restructuring or transfer of all or part of our business, subject to appropriate safeguards.
We do not sell personal data merely for the purpose of allowing unrelated third parties to market their own products to you.
9. International Data Transfers
Eleven One Media operates internationally and may process or transfer personal data between Qatar, the United States and other countries in which our personnel, contributors, clients, partners or service providers are located.
Where QFC data-protection requirements apply, international transfers will be handled in accordance with the QFC Data Protection Regulations and Rules, including applicable adequacy mechanisms, contractual safeguards or other recognised transfer mechanisms. Where another jurisdiction imposes mandatory transfer requirements, we will apply those requirements to the relevant processing activity.
10. Data Retention
We retain personal data only for as long as reasonably necessary for the purposes for which it was collected, including to provide services, manage editorial and licensing records, maintain attribution and chain-of-title information, comply with accounting or legal obligations, resolve disputes and enforce agreements.
Retention periods vary by category. Certain rights-management, licensing, transaction, contributor-credit and editorial records may need to be retained for extended periods because they establish ownership, usage rights, publication history, contractual obligations or legal evidence. Data that is no longer required will be deleted, anonymised or otherwise securely disposed of where appropriate.
11. Security
Eleven One Media uses reasonable administrative, technical and organisational safeguards designed to protect personal data against unauthorised access, loss, misuse, alteration, disclosure or destruction. Measures may include access controls, authentication, encryption where appropriate, logging, backups, vendor controls, staff procedures and incident-response practices.
No online service or storage system can guarantee absolute security. Users are responsible for maintaining the confidentiality of their login credentials and should notify us promptly of suspected unauthorised account access.
12. Personal Data Breaches
If a personal data breach occurs, Eleven One Media will assess the incident and take appropriate containment, investigation, remediation and notification steps in accordance with the laws applicable to the affected processing activity. This may include notification to the QFC Data Protection Office, affected individuals, United States state authorities or other competent regulators where legally required.
13. Your Privacy Rights
Subject to applicable law and relevant exemptions, you may have rights concerning your personal data, such as the right to:
- request access to personal data we hold about you;
- request correction of inaccurate or incomplete data;
- request deletion or restriction in circumstances provided by law;
- object to certain processing activities;
- withdraw consent where processing is based on consent, without affecting prior lawful processing;
- request data portability where legally applicable;
- opt out of certain direct marketing communications; and
- raise a complaint with a competent data-protection or regulatory authority.
These rights are not absolute. We may need to retain or continue processing information where required by law or where legitimate overriding grounds apply, including contractual, editorial, journalistic, copyright, fraud-prevention, security or legal-claims considerations.
Before acting on a rights request, we may ask for information reasonably necessary to verify identity and protect accounts and personal data from unauthorised disclosure.
14. Marketing Communications
Where permitted by applicable law, Eleven One Media may send news, product, service, editorial, contributor or commercial communications. You may unsubscribe from promotional email communications using the unsubscribe mechanism provided in the message or by contacting us. Service, security, transactional, legal and account-related notices may still be sent where necessary.
15. Cookies and Similar Technologies
Our websites and digital services may use cookies, pixels, local storage, analytics tools and similar technologies to operate the platform, remember preferences, secure sessions, understand usage, improve performance and, where permitted, support marketing activities.
Where consent is required, users will be offered appropriate choices through our Privacy Settings / Cookie controls. More detailed information will be provided in the Eleven One Media Cookie Policy and Privacy Settings notice.
16. Children
Eleven One Media services are primarily intended for professional, business and general-audience use and are not designed to solicit personal data from children. Where content or services involve minors, we will apply appropriate legal, editorial and safeguarding requirements relevant to the circumstances and jurisdiction.
17. Automated Tools and Artificial Intelligence
Eleven One Media may use automated tools to support functions such as search, tagging, metadata processing, content moderation, fraud detection, recommendations, customer support or workflow efficiency. Where such tools process personal data, we will apply applicable data-protection requirements and appropriate human oversight where required.
Customer or contributor personal data will not be used to train unrelated third-party artificial intelligence models merely by virtue of being uploaded to Eleven One Media, unless a lawful basis and appropriate contractual or consent framework applies.
18. United States Operations
Because Eleven One Media maintains operations in the United States, including New York, certain United States federal or state privacy, cybersecurity, consumer-protection and breach-notification requirements may apply to specific individuals or processing activities. Eleven One Media will apply such mandatory requirements where they are legally applicable, including reasonable safeguards and breach-response obligations required by relevant state law.
19. Legal Framework
Eleven One Media LLC is incorporated and registered in the Qatar Financial Centre. Its processing activities may therefore be governed, as applicable, by the QFC Data Protection Regulations 2021 and Data Protection Rules 2021, relevant laws of the State of Qatar, contractual requirements, and mandatory privacy or data-security laws in jurisdictions where the company operates or targets services.
The State of Qatar also has Law No. 13 of 2016 concerning Personal Data Privacy Protection. The applicability of QFC and State-law provisions to a specific processing activity should be assessed according to the legal status, location and circumstances of that processing.
